Privacy Policy

This Privacy Policy explains how Ken Lundin and Associates LLC d/b/a RevHeat (“RevHeat,” “we,” “us,” “our“) collects, uses, shares, and protects personal information in connection with the revheat.com and app.revheat.com websites and our products — Call Analyzer, Lead Accelerator, and QuotaFit (together, the “Services”). It should be read together with our Terms of Service. (unseat.ai is governed by a separate privacy policy.)

1. Who this applies to

This policy covers (a) visitors to our websites, (b) account holders and users of the Services, and (c) individuals whose information our customers upload to the Services. For content our customers upload — for example, sales-call recordings and transcripts (Call Analyzer), contact and profile data (Lead Accelerator), and candidate information (QuotaFit) — our customer is the controller of that data and RevHeat acts as a processor on the customer’s behalf, as described in our Terms of Service and any Data Processing Agreement. If you are such an individual, please direct your requests to the customer (the business) that uploaded your information; we will assist that customer as required.

2. Information we collect

  • Account data — name, email, organization, and role when you register or are invited.
  • Customer Content — the data you upload to or generate through the Services, which may include call recordings and transcripts, contact and profile data, job and candidate information, and site content.
  • Billing data — processed by our payment processor, Stripe; we do not store full payment-card numbers.
  • Usage and device data — log data, IP address, browser and device information, and analytics about how the Services are used.
  • Communications — records of your correspondence with us and your email/SMS preferences.
  • Cookies — see Section 8.

3. How we use information

We use personal information to: provide, secure, support, maintain, and bill the Services; authenticate users and manage accounts; communicate with you about the Services and, where permitted, marketing; comply with law and enforce our Terms; and maintain and improve the Services as described in Section 4. Our legal bases, where applicable, are performance of our contract with you, our legitimate interests in operating and improving the Services, your consent (for example, marketing messages), and compliance with legal obligations.

4. AI processing, service improvement, and aggregated analytics

This section mirrors Section 7 of our Terms of Service.

  • AI/LLM processing. The Services use third-party artificial-intelligence and large-language-model providers and other sub-processors (see Section 5) to analyze Customer Content and generate output such as analysis, drafts, scores, and summaries.
  • Service improvement. We may review, retain, and derive insight from Customer Content in de-identified / PII-redacted form to maintain, secure, develop, and improve the Services, including tuning models and prompts and internal quality review. If you require that your Customer Content be excluded from this improvement use, contact us at privacy@revheat.com and we will honor reasonable requests.
  • Aggregated analytics. We may compute and use aggregated and de-identified statistics, trends, and benchmarks derived from use of the Services across customers. These aggregates are not attributed to any identifiable customer and do not identify individuals.

5. Sub-processors

We share personal information with vetted third-party sub-processors that help us operate the Services, currently including: OpenAI and Anthropic (AI/LLM processing), Apify (profile data collection for Lead Accelerator), Amazon Web Services (hosting, email delivery, database), Stripe (payments), GoHighLevel (CRM and messaging), and Cloudflare (content delivery and security). Each sub-processor is authorized to use personal information only as needed to provide its service to us. We will update this list as our sub-processors change.

6. International data transfers

We are based in the United States and process personal information there. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States. Where required, we rely on appropriate transfer mechanisms (such as Standard Contractual Clauses) for cross-border transfers.

7. How we share information

We share personal information with the sub-processors described in Section 5; with your organization’s administrators and other authorized users of your account; as required by law, legal process, or to protect rights, safety, and the integrity of the Services; and in connection with a merger, acquisition, financing, or sale of assets (subject to this policy). We do not sell personal information.

8. Cookies and tracking

We use cookies and similar technologies to keep you signed in, remember preferences, secure the Services, and measure usage. You can control cookies through your browser settings; disabling some cookies may affect how the Services function.

9. Email and SMS communications

By providing your email address and phone number you consent to receive email and SMS notifications, alerts, appointment confirmations, and marketing communications from RevHeat. Message frequency may vary; message and data rates may apply. You can reply STOP at any time to unsubscribe from SMS, or use the unsubscribe link in emails. Consent to marketing messages is not a condition of purchase.

10. Data retention

We retain personal information for as long as your account is active or as needed to provide the Services, and thereafter as required to comply with our legal obligations, resolve disputes, and enforce our agreements. Customer Content is retained and deleted as described in our Terms of Service and any Data Processing Agreement; on termination we will delete or make Customer Content available for return within a reasonable period, subject to legal retention requirements.

11. Security

We apply reasonable technical and organizational measures designed to protect personal information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We will notify affected parties of a personal-data breach as required by applicable law.

12. Your privacy rights

Depending on your location, you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. You may also ask us to exclude your Customer Content from the service-improvement use described in Section 4. To exercise these rights, contact privacy@revheat.com; we will respond as required by applicable law and may need to verify your identity. Where you are an individual whose data was uploaded by one of our customers (for example, a call participant), please contact that customer, who is the controller of that data; we will assist them as required. We do not discriminate against you for exercising your rights.

13. Children’s privacy

The Services are intended for business use by adults and are not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

14. Controllers and processors

For personal information that our customers upload and control (including Call Analyzer call data), RevHeat acts as a processor and processes that information only on the customer’s documented instructions and for the purposes described in our Terms of Service and any Data Processing Agreement. For information we collect about our own account holders and website visitors, RevHeat is the controller.

15. Changes to this policy

We may update this Privacy Policy from time to time. Material changes take effect when we post an updated version and update the effective date. Where required, we will provide additional notice or seek consent. Your continued use of the Services after an update takes effect constitutes acceptance of the updated policy.
